Fields: Import Assets
Import Assets lets you set up and initiate the import of multiple assets and metadata files at one time. Assets and metadata can be imported using DaXML (a SirsiDynix format), Dublin Core XML, MARC 21 XML, MARC 21 record files, or UNIMARC record files. Exported files can handle metadata and asset files in two ways:
- Combine the metadata file and the asset files in a container file (*.tar, *.zip, or *.tar.gz) for a single-file import.
- Upload the metadata file, then upload the assets in a compressed container. After you import the metadata, you can import a *.tar, *.zip, or *.tar.gz file that contains the asset file. The importer extracts the files and loads them in the archive directory. If the metadata file includes references to the assets, the metadata will be linked to the assets in the hierarchy. Otherwise, you will need to edit each asset and import the corresponding file to associate them in the system. With this approach, you will need to upload the metadata and assets in two separate imports.

Import times
The amount of time required to import files depends on many variables, such as the size of the asset files, the number of assets, and whether text or OCR parsing is enabled, to name a few. The following table gives some general times for importing files without full-text parsing or OCR enabled.

Uploading large files can overload the memory buffer and result in instability in the system. Upload limits depend on upload speed and file size. The current upload size limit is around 70 per file MB and the upload for uploading multiple files is 60 minutes. If a single file in the import exceeds the memory limit in Portfolio the subsequent files will not load and the system will become unstable. Best practice is to upload smaller files together but separate from the larger files. Upload larger files separately and one at a time. |
Import File
Specifies the metadata file (DaXML, Dublin Core XML, MARC 21 XML, MARC 21 record file, or UNIMARC record file) or the file (*.tar, *.zip, or *.tar.gz) that contains the asset files to be imported. Select the Import File field, or use the file search button to navigate to the file you want. This field is required.
Portfolio populates the Dublin Core metadata fields from the MARC 21 records according to this map.

Default Access Level
Specifies the level of access assigned to each asset imported. You can change the access level for individual assets later. This field is required.
Select the Folder to Import Assets To
Displays the digital asset hierarchy for you to navigate to and select the folder into which you want to import assets.
Sort
Arranges the folders and assets in the digital asset hierarchy in ascending order by either name (Alphabetically) or the date the folder or asset was added to the hierarchy (Chronologically). The default value is Chronologically.
Important: The selected Sort value is in effect when you are on the Import Assets page. The Sort value returns to Chronologically when you leave and return to the Import Assets page, or if you log out of Portfolio and log in again.
Please Select a Folder
Specifies which folder is the base folder from which assets are exported. Click the plus ( + ) next to a folder to view the folders within the folder, or the minus ( - ) to hide the folders within a folder. Click the folder name to select the folder. The name of the selected folder is bolded and in green. You cannot select multiple folders.
Import All Records Automatically
Imports each record in the file into Portfolio without further input from you. You can modify the settings for each asset later.
Note: When you select this option, the Review Each Record option cannot be selected.
Review Each Record
Displays the Review Records for Import page for each record before it is imported. From this page, you may choose to import the record, skip the current record and go to the next record in the asset archive, or finish importing all of the records in the asset archive. Note: When you select this option, the Import All Records Automatically option cannot be selected.
